Termination letter template (any country): free and customizable
Also known as: Employment termination letter, Dismissal letter template, Notice of termination template, Letter ending employment
A free, country-neutral termination letter template with clear placeholders for the reason, notice, last working day, final pay and return of company property. Check the notice, form and reason rules where the employee works before you send it.
A termination letter records the decision, the date employment ends and what happens next. The wording is simple. The rules around it are not. Many countries require a minimum notice period, a stated reason, a specific form of delivery or a procedure before the letter can be sent, and a letter that skips them can be invalid. This template gives you the structure and plain wording. You supply the facts and check the local rules.

How to deliver it
Deliver the letter in a way you can prove: by hand against a signed receipt, by registered post, or by the method that the contract or the law names. Keep a copy in the personnel file. Where the law requires a meeting before the letter, hold it and record it first.
Customization notes
Section 2: state the reason in neutral facts that you can document. Remove the options you do not use. In many countries a vague or unsupported reason is the most common reason a dismissal is challenged. Section 3: take the notice period from the contract and from local law, and use the longer one unless the law says otherwise. Count the dates carefully and check how the law counts weekends and holidays. Section 4: calculate accrued leave and any severance before you send the letter, and state when the payment will arrive. Late final pay creates penalties in some countries. Section 7: restrictive covenants such as non-compete clauses are limited or void in many countries. Keep the sentence only if the clause is valid where the employee works. Deliver the letter in person where you can, with a second person present, and keep the signed receipt. If the employee refuses to sign, record the refusal and use a delivery method with proof. Keep opinions and emotional language out of the letter. It is a legal record and may be read by a court or a labor authority.
