Onboarding

Day one, ready before it starts.

Build an onboarding template once. Add a new hire and, with auto-start on, HourSquare starts the process, hands each task to IT, the manager or the new hire, and shows you where every hire stands on one board.

Starts when you add the hire

Turn on auto-start and the process begins the moment the employee is added. Nobody has to remember to press go.

Every task has an owner

Each task goes to IT, the manager or the new hire, with a due date, so nothing waits for HR.

Status on one board

Not started, in progress or completed — per hire, per task, without asking around.

Capabilities

What onboarding does.

The pieces you set up once and reuse for every hire.

Reusable templates

List the tasks a new hire needs, who owns each one and when it is due. Reuse the template for every hire in that role.

Auto-start when the employee is added

Pick a default template and switch on auto-start: every employee you add gets that onboarding process straight away.

Tasks fan out to IT, the manager and the new hire

Each owner sees their own tasks — equipment and access for IT, day-one items for the manager, documents for the new hire.

A checklist for the new hire

The employee logs in to a personal checklist and ticks things off as they go, instead of asking what is next.

A status board for HR

See every running process and which task is still open, so you can nudge the right person before day one.

Offboarding, the same way

Exits use the same template engine: equipment back, access removed, final tasks assigned — and the account disabled on the leaving date.

How it flows

From template to finished checklist.

The path a new hire takes through HourSquare, in four steps.

  1. Build the template

Add the tasks, assign each to IT, the manager or the new hire, and set how many days before or after the start date it is due.

  2. Add the new hire

With auto-start on, the process starts as soon as the employee is added. You can also start it by hand.

  3. Tasks fan out to their owners

IT, the manager and the new hire each see their own list. The new hire gets a checklist to follow.

  4. Follow the board until everything is done

Each process shows as not started, in progress or completed. When the last task closes, so does the onboarding.

Onboarding is where the rest begins.

FAQ

Questions about onboarding

See all questions
What starts the onboarding process?
Adding the employee. Switch on auto-start and pick a default template in settings, and every employee you add gets that onboarding process straight away — you do not need to launch it by hand. You can also start a process yourself with any template.
Who sees which tasks?
Each task belongs to IT, the manager or the new hire. Everyone sees only their own tasks; HR sees the whole board across all running processes.
Do I have to build templates from scratch?
You create your own templates: a list of tasks, an owner and a due offset for each. Once built, a template is reused for every hire it is assigned to.
Does it handle people leaving too?
Yes. Offboarding uses the same template engine, with tasks assigned in the same way, and the employee's account is disabled on the leaving date.
